This website (www.xonedesign.org.uk) is run by the X One Design Class Association (“the Class”, “we”). This page explains what personal information the site handles, why, and your choices. We keep things deliberately simple: we collect the minimum needed to run the Class’s affairs, and we never sell or share your information for marketing.
Information we hold and why
Member accounts and the boat register
The Class maintains a register of XOD boats and their owners (accessible at boatdatabase.xonedesign.org.uk). For members this includes your name, email address, boat details and a login password (stored securely hashed). We use this to administer membership, maintain the historical record of the fleet, and give members access to member-only pages on this site. We hold this information as part of running the association; boat history is retained permanently as part of the Class’s fleet records.
Contact form
If you use our contact form we receive the name, email address and message you provide, delivered to us by email and kept in the site’s message store so we don’t lose track of enquiries. We use it only to respond to you. Old messages are deleted periodically.
Website analytics (only with your consent)
With your consent, we use Google Analytics to understand how the site is used — page views, visitor numbers, and how often our Class Supporters’ adverts are shown and clicked (counted per supporter, not per person). Analytics runs only if you choose “Accept” on the cookie banner; if you reject, no analytics cookies are set. The statistics we work with are aggregate — we do not identify individual visitors.
Server logs
Like almost every website, our server keeps standard technical logs (IP address, page requested, time) for security and troubleshooting. These are kept for a few weeks and then deleted automatically.
Cookies
Cookies set before you make any choice on the banner are limited to those the site needs to function:
- cookieyes-consent — remembers your cookie choices (1 year).
- wp_rtcl_session_… — a short-lived session cookie used by the boats-for-sale listings (2 days).
- WordPress login cookies — set only when a member logs in, to keep you logged in.
Set only with your consent:
- _ga, _ga_… — Google Analytics (up to 2 years).
Set in specific places:
- _GRECAPTCHA — Google reCAPTCHA spam protection, loaded only on the contact page (6 months).
- YouTube — videos on our home page use YouTube’s privacy-enhanced player, which sets no cookies unless you press play.
You can change your cookie choices at any time via the cookie settings on this site.
Who processes data for us
The site is hosted with Hetzner (in the EU). Transactional email (such as password resets) is sent via Sender.net. Google provides the consent-based analytics, the contact-page spam protection, and the video player described above; Google’s services may involve transfers outside the UK/EU under Google’s published safeguards. CookieYes provides the cookie consent banner. None of these providers may use your data for their own marketing.
Your rights
Under UK data protection law you can ask us for a copy of the information we hold about you, ask us to correct or delete it, or object to how it is used. Use the contact form and we will respond promptly. If you are unhappy with how we handle your information you can complain to the Information Commissioner’s Office (ico.org.uk).
Changes
If we change how the site handles personal information we will update this page and the date at the top.
